Hire Tufts University Community Work Study Students!

Welcome, Off-Campus Employers! We are looking to partner with local organizations to hire Tufts students for the upcoming 2026-2027 academic year.

REQUIRED UPFRONT ITEMS for HIRING

  • Signed Contract: signed, wet ink, original hard copy
  • Upfront Check Payment: for your 25% share of student compensation, plus 7.65% FICA taxes, based on invoice issued by Student Employment

  • Job Description: for each Work Study position, on organization letterhead

  • Documentation of Non-Profit Status: 501(c)(3) paperwork or other relevant documentation

DETAILED INFORMATION about REQUIRED ITEMS
Expected Amount of Federal Work Study Earnings: Required before an invoice can be sent. The amount can be based on student’s full Federal Work Study award, or a calculation of estimated earnings (Hourly Wage x Hours Per Week x Weeks Per Year = Earnings Estimate).
We aim to invoice you for an amount as close to what the student will earn without under or overestimating. If the student does not earn the full amount of the award or estimated amount, the organizational share will be returned in July when Tufts Finance reconciles accounts.

Invoice: total is derived from the 25% non-federal share of student compensation, plus 7.65% FICA taxes for the 25% share. The invoice for each student will be emailed to your organization and must be paid by check mailed to our office. The invoice for each student will be sent after your organization confirms the expected amount of Work Study earnings. Multiple invoices can be paid with a single check.

Job Description: submit for each position. Please include the following information and share with any student you hire. Information can be provided from Handshake job posting.

  • A brief description of the work to be performed by students(s) on specific projects benefiting the local community
  • A brief description of the organization and its functions
  • The estimate number of students to be employed
  • The hourly pay rate for each job (minimum wage is currently $15/hour)
  • The estimated number of hours per week
  • The estimated time for completion of the project (fall or spring semester, or academic year).

Payroll Form: complete for each student. Please indicate the student’s weekly supervisor who will be responsible for completing the weekly time sheets.

COMPLETING the HIRING PROCESS
Once we have received the signed contract, expected earnings amount, check payment, payroll form, job description, and proof of non-profit status, we can enter the student into the Tufts payroll system. Please note the earliest the Tufts payroll system begins processing students is during the first week of September.

After processing has been completed, the student will receive a notification from the payroll office with instructions for completing their hiring paperwork, if necessary.

When all these steps have been completed, we will email the weekly Time Sheet to you so we can begin entering hours into the Tufts payroll system.

SUBMITTING WEEKLY TIME SHEETS
The student’s supervisor needs to email the Time Sheet to student.employment@tufts.edu by 10AM each Monday for hours worked during the previous week. A weekly Time Sheet reminder will be emailed to the supervisor each Friday.

The supervisor will be fully supervising and managing their Work Study student(s). Please let us know if you need help with any issues or if the student’s work does not meet expectations at any point during the year.
