About the Opportunity
This role operates at the intersection of sports medicine, orthopedic pathology, neurocognitive health, and structured healthcare navigation.
The selected candidate will synthesize medical documentation, extract imaging findings, and coordinate care for former professional football athletes navigating complex post-career medical processes.
Exposure includes:
- Orthopedic surgical history and degenerative joint disease patterns
- Neurocognitive testing frameworks
- DSM-5-aligned mental health documentation
- Objective range-of-motion measurements
- Multi-provider coordination across orthopedic, neurologic, and psychiatric settings
This position provides structured exposure aligned with AAMC pre-medical core competencies, including healthcare systems navigation, ethical responsibility, clinical documentation analysis, and disciplined follow-through in patient-centered processes.
This is a high-accountability, operations-driven role within a boutique firm dedicated to supporting former professional athletes beyond their playing careers.
Position Structure
- 20 hours per week – $20/hour
- 90–95% remote
- Approximately 4 hours per weekday (Monday–Friday)
- Flexible scheduling within that framework
- Limited, infrequent in-field exposure for select professional events
Core Responsibilities
Medical Documentation Synthesis & Clinical Extraction
- Draft and transmit medical record requests
- Track outstanding documentation and follow up persistently
- Extract imaging findings (MRI, X-ray) and identify surgical procedures
- Construct structured injury timelines
- Review and log objective measurements (range-of-motion, strength deficits, instability findings)
- Prepare organized clinical documentation packets for internal review
Orthopedic & Neurocognitive Case Coordination
- Coordinate therapy and specialty appointments
- Monitor computerized neurocognitive testing
- Track treatment progression and documentation continuity
- Maintain structured case tracking systems
Structured Claim Development & Appeals Exposure
- Synthesize documentation for structured submissions
- Support drafting medical summaries and appeal materials
- Gain exposure to how objective clinical findings are integrated into formal review processes
Client Communication
- Communicate with former NFL athletes regarding next steps
- Prepare clients for evaluations and specialty appointments
- Maintain discretion and professionalism when interacting with high-profile individuals
Additional Operational Support
- Maintain CRM accuracy
- Identify workflow bottlenecks and propose structured solutions
- Perform periodic workflow audits
- Support documentation organization across active case portfolios
Professional Communications & Digital Coordination
- Draft and organize educational and awareness-focused content aligned with firm initiatives
- Execute structured social media scheduling and posting across designated platforms
- Maintain messaging consistency and professional tone across all digital communications
- Coordinate logistics related to athlete engagement and brand visibility initiatives
- Monitor engagement activity and ensure timely, professional follow-through

- Experience as a medical scribe, research assistant, or healthcare administrator is a plus
