A Publications and Production Specialist (editor emphasis) contributes to the development of agency publications. A Specialist must understand and successfully apply agency standards regarding publications. Work products must be high-quality and accurate and must be developed within specific deadlines. The scope of this position includes critical reading, editing, technical writing, project management concepts, graphics production, and publication layout.
The position reports to the Manager of the Graphics, Editing, and Layout (GEL) Team and operates under general supervision, with moderate latitude for the use of initiative and independent judgment. The specialist collaborates with the manager to develop standardized, approved language in publications and applies new and existing specifications across formats.
Essential Responsibilities

Edit and Review
Develop, review, and edit documents. Recommend revisions or changes in format. Demonstrate resourcefulness and detail-oriented focus. Assist in documenting editing processes and workflow management specifications. Assist in development and documentation of agency’s standardized writing style. -
Document Layout and Production
Implement existing specifications across document formats and graphics for print and digital production. Assist in development of new graphics styles and publication formats. Develop press-ready documents for production. Understand the differences between print and digital publications, and implement standards for each area where appropriate. Coordinate the publication and distribution of session documents. -
Collaborate with Agency Staff
Adhere to management schedules and expectations for publication production, distribution, and delivery. Provide professional assistance to agency and legislative staff. Exhibit excellent communication, customer service, and organizational skills. Other duties may include the development of training materials. - Contribute to agency projects and perform other duties, as assigned/appropriate.
Essential Attributes and Skills
- Expert-level skill in applying rules of English grammar, spelling, and punctuation using AP Style guidelines in formal reporting. Adhere to and assist in development of specialized agency style guidelines.
- Review, illustrate, and edit technical documents and reports.
- Demonstrate thorough understanding of writing styles.
- Demonstrate ability to meet multiple deadlines.
- Moderate skill in print production using Adobe Creative Suite and Microsoft Office Suite.
- Moderate knowledge of Adobe Creative Suite, including InDesign, Illustrator, Photoshop, and Acrobat Pro.
- Moderate knowledge of producing graphics using MS Excel spreadsheets, and formatting documents in MS Word word processing and MS PowerPoint presentation software.
- Produce and generate print-quality graphics in MS Excel and Adobe Illustrator and Photoshop. Format layouts in MS Word and Adobe InDesign. Generate proof and final documents in print, electronic, and presentation formats.
- Demonstrate understanding of design concepts, understanding of differences in publications methods and requirements, and ability to meet multiple deadlines.
- Understand and employ the techniques and methods of planning, organizing, and producing various types of publications and implementing style guidelines.

Education and Experience
- Minimum two (2) years’ experience in editing or technical writing. Understanding of editing styles and concepts.
- Experience in publications production is preferred.
- Graduation from an accredited four-year college or university is preferred. Major coursework in journalism, communications, English, or related field is preferred.
