The Intellectual Property Assistant is responsible for providing support to attorneys and technology specialists in the Patent Prosecution Department necessary to meet time-driven deadlines in the preparation of client correspondence and the electronic filing of correspondence. The Intellectual Property Assistant is also responsible for various administrative tasks, including but not limited to calendar management and travel management for attorneys and technology specialists.

Responsibilities include, but are not limited to:

  • Support and assist patent attorneys, technology specialists and paralegals in the preparation of correspondence to clients relating to all stages of patent prosecution
  • Accurately create, edit, format and produce Word, Excel, Adobe, and PowerPoint documents
  • Update and maintain correspondence in firm document management system (FileSite), electronic file wrapper system (EFW), and client portals, as needed
  • Provide telephone coverage to assigned attorneys and technology specialists, as well as other lawyers in the department
  • Create new business forms
  • Complete and submit Expense Forms via Chrome River, prepare check requests, and invoices, and submit in a timely manner
  • Arrange for travel, transportation, seminars, conferences, etc.
  • Manage lawyer calendar appointments for client meetings and conference calls
  • Assist with time entries in DTE and liaise with the Client Operations team for partner billing matters
  • Assist in day-to-day duties such as faxing, filing, copying, scanning, and coordination of messenger services
  • Work as part of a secretarial floor team to provide assistance to all lawyers
  • Provide overflow support to secretarial team support
  • Other projects and duties as assigned

Qualifications:

  • Bachelor’s Degree required
  • One year of experience in a professional services environment
  • Professional demeanor and the ability to maintain confidentiality and discretion dealing with sensitive information and client matters
  • Ability to meet deadlines with minimal supervision and to work analytically, as well as the capability to work both independently and as part of the team
  • Ability to maintain composure in a high-pressure, fast-paced multi-authority environment
  • Ability to demonstrate the highest level of confidentiality with client and attorney information
  • Excellent prioritization and organizational skills
  • Ability to quickly and proactively identify and analyze problems, develop solutions, and deliver results
  • Flexibility and willingness to work on various assignments, with various attorneys and staff, including overtime as needed
  • Strong written and verbal communication skills
  • Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) as well as comfort with technology and ability to learn new software and applications
