Job Mission: The Manager, Operations, reporting to the Director, Operations, is the point person for day-to-day programmatic logistics and infrastructure; they also provide administrative support for the program team. Specific responsibilities include:
Calendar
- Serve as the day-to-day point person for bringing the annual program calendar to life
- Always able to answer the question “who needs to be where when”
- Manage registration for all program events
- Lead the ‘reminders’ system, to ensure good student attendance at all program events
- Ensure that no conflicts take place and staff time/resources are being maximized
Administrative
- Coordinate with the Director, Operations, Director, College Access & Director, College Readiness to effectively execute program initiatives (reporting to the Director, Operations)
- Connect both students and staff with the information/resources/materials they need to execute programming
- Create & implement College Zone program schedule, including individual student schedules
- Create & manage program team tools/assets i.e. flyers, Eventbrite pages, Google forms, surveys, website updates, etc.
- Serve as point person for general inquiry emails, phone calls to program team
- Track event/programmatic attendance
- Coordinate follow-up effort to use attendance tracking to increase student engagement
- Manage student device check-outs (computers, calculators, etc.)
Virtual programming
- Manage all links
- Ensure all staff and students has the right links at the right times
- Manage paid Zoom accounts
- Serve as point person for Zoom/online event admin duties
In-person programming (we expect to be fully virtual through the spring of 2021)
- Oversee the physical space of the YPIE College Zone, including schedule of room usage
- Manage CZ supplies
- Run arrival and dismissal rituals
- Manage snack procurement/systems
- Complete daily checklist
- Ensure that the College Zone facility supports a welcoming, academic, and professional culture
Qualifications
- Ability to see the big picture and sweat the small stuff at the same time
- Strong writing, communication, and organizational skills
- Bachelor’s degree
- Attention to detail
- Experience with Google platform, internet searches and research, social media
- Flexible; able to roll with the punches
- Eager to create good systems & willingness to execute existing systems/processes
- Mission-driven and excited to work with a diverse population of high school students
- Flexibility to work some evening and weekend hours
- Recent graduates with requisite skills encouraged to apply
